Introduction

 

The African Union Development Agency (AUDA-NEPAD) is committed to protect your personal data and to respect your privacy. AUDA-NEPAD collects and further processes personal data pursuant to the African Union Cyber Security and AUDA-NEPAD data protection SOP on the protection of natural persons personal data.

This privacy statement explains the reason for the processing of your personal data, the way we collect, handle, and ensure protection of all personal data provided, how that information is used and what rights you have in relation to your personal data. It also specifies the contact details of the responsible Data Controller and the Data Protection Officer with whom you may exercise your rights.

 

Why and how do we process your personal data?

 

Purpose of the processing operation: AUDA-NEPAD Human Resource division collects and uses your personal information for “Recruitment & Selection” process will be used for the assessment of your application and, if an employment relationship is established, also for the execution of the employment relationship. 

 

On what legal ground(s) do we process your personal data

 

We process your personal data based on your consent to apply for a position advertised and if engagement relationship is established, based on legal contractual obligation and for process of administrative issues, i.e., process for benefits including dependant as in the African Union Staff Rules and Regulations (SRR), processing personal developments (e.g., talent management, learning and development, performance management), provision of equipment such as computers, phones, access cards, etc. and office space and provision of security for staff living environment.

You as the data subject have agreed to the processing of your personal data for one or more specific purposes indicated above as applied for your specific contract.

Which personal data do we collect and further process?

 

To carry out this processing for “Recruitment & Selection”, the Human Resource office collects the following categories of personal data:

Mandatory data:

  • Employee First name and surname

  • Dependants Name and details of all dependants (if an employment relationship is established)

  • Contact details (Physical Address, Telephone and Position)

  • Bank Details (if an employment relationship is established)

  • E-mail address

  • Nationality

 

How long do we keep your personal data?  

 

“Recruitment & Selection” of the Human Resource office in AUDA-NEPAD keeps your personal data for the time stipulated in the African Union Staff Rules and Regulations (SRR) and Financial Rules and Regulations.

 

How do we protect and safeguard your personal data?

 

All personal data collected through the electronic format are stored on the servers of the AUDA-NEPAD.

In order to protect your personal data, the Agency has put in place a number of technical and organisational measures in place. Technical measures include appropriate actions to address cyber security, risk of data loss, alteration of data or unauthorised access, taking into consideration the risk presented by the processing and the nature of the personal data being processed. Organisational measures include restricting access to the personal data solely to authorised persons with a legitimate need to know for the purposes of this processing operation.

 

Who has access to your personal data and to whom is it disclosed?

 

Access to your personal data is provided to the AUDA-NEPAD authorised staff responsible for carrying out this processing operation, according to the “need to know” principle. Such staff are abide by contractual agreement not to disclose any information processed to any third party.

 

Transfer of Personal Data

 

We may transfer your personal data to companies affiliated with us for verification and background check provided this is permissible within the scope of the purposes and legal bases outlined above. This transfer, however, applied only to successful candidates who will undergo employment engagement process.

 

What are your rights and how can you exercise them?

 

As a ‘data subject’, you have the right, under AU Cyber security policy and AUDA-NEPAD Personal Data Protection SOP, to access, rectify or erase your personal data and the right to restrict the processing of your personal data. Where applicable, you also have the right to object to the processing or the right to data portability.

You have consented to provide your personal data for “Recruitment & Selection" for the Human Resource Office of the organization for the present processing operation. You can withdraw your consent at any time by notifying the Data Controller. The withdrawal shall not affect the lawfulness of the processing carried out before you have withdrawn the consent.

You can exercise your rights by contacting the Data Controller, or in case of conflict the Data Protection Officer.

Where you wish to exercise your rights in the context of one or several specific processing operations, please provide their description (I.e., their Record reference(s) as specified in the header above) in your request.
